This tool does what VLOOKUP does - finds each of your values in another table and copies columns back - but without the formula, the absolute references or the #N/A that never explains itself.

Upload a workbook or two files, choose the column to match on and the columns to bring across, and download the result. Before it runs, it checks the two key columns for the things that quietly break a lookup - trailing spaces, numbers stored as text, invisible characters pasted from a web page - and tells you how many rows are affected.

Useful any time you need to compare Excel data from two sources and find matching values between them - two exports of the same list, a payroll file against an employee master, this month's figures against last month's. Whether the two tables are separate Excel files or two sheets in one workbook, the steps are the same.

How this tool works

  1. Add your spreadsheet

    An XLSX, XLS or CSV file. If your two tables are sheets in one workbook, that is all you need; otherwise add the second file as well.

  2. Choose the sheets and the matching columns

    Pick the column in your data and the column in the lookup sheet that should line up - the equivalent of the first argument and the lookup range in a VLOOKUP.

  3. Choose what to bring back

    Tick every column you want copied across. Unlike VLOOKUP, you are not limited to one, and you do not have to count columns to find its index.

  4. Read the key column check

    Any formatting differences that would break the match are counted and shown, with real examples from your file and a preview of what cleaning them up would do.

  5. Run it and download

    The result keeps your original rows exactly as they were, with the new columns appended. Download it as an Excel workbook or a CSV.

How it works

Matching happens in three passes, in order. First the values are compared exactly as they are. Anything left over is compared again after cleaning up spacing, capitalisation and invisible characters. Only then, and only if you have asked for it, are close matches considered.

That order matters: a close match can never displace an exact one. If two candidates score almost the same, the row is marked "Needs Review" rather than one being picked for you - a lookup that quietly guesses is worse than one that says it does not know.

Cleaning up a value only affects the comparison. Your original cells are copied into the result untouched, so a sheet matched on a tidied-up key still comes back with exactly the text you started with.

Numbers stored as text are matched against real numbers, because that mismatch is the single most common reason a VLOOKUP fails. Values with a leading zero, such as "007", are deliberately kept as text - merging those with the number 7 would combine two different account numbers.

Everything runs in your browser. The workbook is never uploaded, so there is no file size limit imposed by a server and no copy of your data anywhere else.

Why a VLOOKUP returns #N/A when the values look identical

Almost always, the two values are not identical - they only look it. A trailing space, a non-breaking space pasted from a web page, or an invoice number stored as text on one sheet and as a number on the other will all defeat an exact comparison while appearing the same in the cell.

This tool counts each of those problems before it runs and shows you examples from your own file, so you can see the cause rather than guessing at it.

Differences from Excel VLOOKUP

  • You can return several columns at once, rather than one per formula.
  • The lookup column does not have to be the leftmost column of the range.
  • There is no approximate-match mode that silently returns the wrong row. Close matching is separate, off by default, and always reported.
  • Duplicate keys are flagged rather than silently resolved to the first hit.

No. Your files stay on your device. The workbook is read and processed by your browser, so nothing is uploaded, stored or logged - which matters when the sheet holds customer records, invoices or payroll.

Can I look up between two separate files?

Yes. Turn on "The lookup table is in a separate file" and add the second workbook. You can also match between two sheets of the same workbook, which is the more common case.

Why did my VLOOKUP return #N/A in Excel but match here?

Because the values differed by something invisible - usually a trailing space, a non-breaking space or a number stored as text. This tool compares again after normalising those, and tells you how many rows it affected.

Can I return more than one column?

Yes. Tick as many columns as you need and they are all appended, in the order you chose them.

What happens if the lookup sheet has the same key twice?

The row is marked "Duplicate Key" and the first match is used, exactly as Excel would - but you are told it happened, and the affected rows are listed on their own sheet.

What is the largest file I can use?

There is no server limit because nothing is uploaded. The practical ceiling is your device's memory; workbooks beyond about two million cells are refused rather than being allowed to freeze the tab.
