A real data-cleanup job is rarely one step. You check a spreadsheet for problems, fix the ones you find, look for duplicate rows, bring in a second file to match or compare against it, and often finish by proving two systems agree. Doing that with separate tools usually means downloading after each step and uploading the result into the next one - and starting over to bring in that second file.
Data Workspace keeps one spreadsheet open while you move between these steps on one screen, and lets you add a second file alongside it - a payroll file next to an employee list, this month’s export next to last month’s - without losing the first. Undo and Redo work back across every change you make to the primary sheet, and a running workflow list shows what you have done so far.
How this tool works
Open your spreadsheet
Choose an XLSX, XLS or CSV file. It stays in your browser - nothing is uploaded.
Check and clean it
Profile shows what is in it and scores its quality; Clean applies the fixes you tick and shows exactly what changed, undoable; Duplicates finds exact and near-duplicate rows.
Add a second file, if you need one
Match, Compare and Reconcile each need a second dataset - add it once and every step after can use it.
Match, compare or reconcile
Bring columns across with Match, see what changed with Compare, or check two systems agree with Reconcile - each produces its own downloadable result.
Export
Download the primary spreadsheet at any point, or click Done for a summary of everything you did.
How it works
The spreadsheet is opened into memory once and held for the rest of the visit - the same shared table the site’s single-file data tools (Profile, Clean, Find Duplicates) already use, so switching between those steps here behaves exactly as it does on their own pages.
A second file - for Match, Compare or Reconcile - is kept alongside the primary one rather than replacing it, so it survives switching between steps and can be reused by more than one of them without asking for it again.
Only changes that genuinely rewrite the spreadsheet (Clean, removing duplicates) are recorded as undoable steps. Profiling, checking for near-duplicates, matching, comparing and reconciling all read the data and report on it - none of them change the primary sheet, which is why Match, Compare and Reconcile each get their own separate download instead of altering the one you opened.
Fuzzy (near-duplicate) matching is folded into Duplicates and Match rather than being separate tools: it is the same underlying check with a similarity threshold, used either within one file or between two.
What each step actually checks
| Profile | A quality score and a list of columns with missing values or mixed types - changes nothing |
|---|---|
| Clean | Trims spaces, fixes casing, standardises dates and numbers, removes blank rows - applies at once, shows exactly what changed, undoable |
| Duplicates | Exact matches on the columns you choose, or near-duplicates above a similarity threshold |
| Match | Brings columns from a second file across by a key column, with optional fuzzy matching for names that don’t quite agree |
| Compare | Added, removed, changed and unchanged rows between two files, keyed on one or more columns |
| Reconcile | Whether two datasets agree on a reference and an amount, with every row accounted for |
Matches that are not certain are never guessed
When two candidate matches are close enough that there is no real basis for preferring one, the row is marked "Needs Review" rather than picked automatically. That applies the same way whether the match happened while checking for duplicates within one file or while matching against a second one.
Worked examples
An employee list and a payroll export
Profile and clean the employee list, check for duplicate records, add the payroll file as a second dataset, then match on Employee ID to bring salary and department across.
Two months of the same report
Add last month’s file as a second dataset and use Compare to see exactly which rows were added, removed or changed since then.
Frequently asked questions
Is my spreadsheet uploaded anywhere?
No. Every step runs in your browser, including matching against a second file. Nothing is sent to VSThiran or to anyone else, and nothing is stored after you close the page.
Can I add more than one extra file?
Yes. Add as many as you need with "Add a data source" - each stays available to Match, Compare and Reconcile until you remove it or open a new primary spreadsheet.
Does adding a second file change my main spreadsheet?
No. The primary spreadsheet is only changed by Clean or by removing duplicates. Match, Compare and Reconcile read the second file and produce their own separate result to download.
What is the difference between this and using VLOOKUP or Compare Spreadsheets directly?
The underlying matching and comparison are identical. This page lets you move between profiling, cleaning, checking duplicates and matching against a second file without navigating to a different tool or re-uploading anything in between.
Is it free?
Yes - free, with no sign-up and no limit on files.
