This free PDF to Excel converter extracts tables from a PDF into a genuine .xlsx spreadsheet, with each value in its own cell and numbers stored as numbers so you can sum a column straight away.
The hard part of this job is working out where the columns are, because a PDF does not record them - it only records where each piece of text sits. This tool clusters the horizontal positions across the whole page to find the real column boundaries, which is why a short value in one row still lands in the right column instead of shifting everything along.
How this tool works
Choose your PDF
The document is read locally and you are told how many table-like rows were found.
Check the preview
The first rows of the first page are shown exactly as they will appear in the spreadsheet, so you can judge the result before downloading.
Set the options
One sheet per page, numbers stored as numbers, and an option to drop everything that is not a table row.
Download XLSX or CSV
XLSX for Excel, Sheets and Numbers. CSV if you would rather tidy it up in a plain text editor.
How it works
Every piece of text is read with its position on the page. Text at the same height becomes a row; the horizontal positions of everything on the page are then clustered to find stable column centres, and each value is assigned to its nearest column.
That clustering is what makes ragged tables work. A simpler approach - treating each line as a list of cells - falls apart the moment one row has a blank cell, because every value after it shifts one column to the left.
Numeric-looking cells are converted to real numbers, so Excel can total a column rather than treating "186000" as text. Values with currency symbols or mixed characters stay as text.
Each PDF page becomes its own worksheet by default, which keeps a multi-page report navigable.
A CSV export is offered alongside, which is often easier to clean up by hand when a PDF turns out not to have a real table structure at all.
How well will your PDF convert?
| Report with ruled, aligned columns | Very good - columns map cleanly |
|---|---|
| Financial statement or invoice table | Usually good |
| Table with merged or wrapped cells | Mixed - wrapped text may split across rows |
| Layout faked with spaces | Poor - use the CSV export and tidy by hand |
| Scanned PDF | Nothing to extract; needs OCR |
Check the preview before you download
The preview is there because no table extractor can be right every time, and it is much quicker to see the problem on screen than to open a spreadsheet and discover it.
If the columns look right in the preview, the spreadsheet will be right. If everything has landed in one column, the PDF is not using a real table layout - the CSV export is usually the faster path to a clean result in that case.
Worked examples
A sales table by region
A five-column table with headers and numbers converts with each value in its own cell and the numbers ready to total.
A multi-page financial report
Each page becomes its own worksheet, so the structure of the report is preserved.
A bank statement
Usually converts well, since statements are laid out as genuinely aligned columns. For a list of transactions with dates, debits, credits and a balance check, use Bank Statement to Excel instead.
Frequently asked questions
Is this PDF to Excel converter free?
Yes - free, no sign-up, no watermark, no email required and no limit on the number of files.
Are my files uploaded to a server?
No. Your files never leave your device. The file is opened and processed by your browser on your own machine, so nothing is transmitted to VSThiran and no copy of your document is ever stored on a server.
Can I convert a PDF to Excel without uploading it?
Yes. The extraction happens in your browser, so a bank statement, payroll file or price list is never transmitted anywhere. There is no account and no email step.
Will my table convert accurately?
It depends entirely on the PDF. Tables with clean, aligned columns convert very well. Tables where the layout is faked with spaces will need tidying. Check the on-screen preview before downloading - it shows exactly what you will get.
Are numbers stored as numbers?
Yes, by default. Numeric cells are converted to real numbers so Excel can sum, sort and chart them. You can turn that off if you would rather everything stayed as text.
Does it work with scanned PDFs?
Not directly - a scan contains no text to extract, only an image, and this tool tells you clearly when it finds none. Run the OCR workspace on the scan first, then convert its result here.
Should I use XLSX or CSV?
XLSX if the columns look right in the preview - it keeps the sheet structure and number types. CSV if the extraction is imperfect and you would rather fix it in a text editor, or if you are importing into another system.
What can I open the file with?
It is a standard .xlsx, so Microsoft Excel, Google Sheets, Apple Numbers and LibreOffice Calc all open it.
