How to convert a bank statement to Excel
Quick answer
Open the PDF statement in Bank Statement to Excel, let it read the transaction table, check the balance check and any rows marked for review, then download the XLSX. Dates and amounts arrive as real Excel dates and numbers.
- 1Download the statement as a PDF from online banking.
- 2Open it in Bank Statement to Excel (enter the password if asked).
- 3Check the balance check and the rows marked for review.
- 4Download Excel.
Free, no sign-up, and your file is read on your own device rather than uploaded.
Copying a statement into Excel by hand is slow, and pasting from a PDF usually lands every transaction in a single column. A converter built for statements does three things a general PDF converter does not: it finds the transaction table whatever the bank calls its columns, it joins descriptions that wrap over two or three lines, and it keeps repeated page headers, footers and "balance carried forward" lines out of your data.
The part that matters most comes after the conversion. A statement contains its own proof of accuracy - the running balance. If every balance equals the previous balance plus money in minus money out, no transaction was missed or misread. That check is what turns "it looks about right" into "it is right".
Step by step
Start from the PDF your bank produces
Download the statement from online or mobile banking rather than scanning a paper copy. A downloaded PDF contains real text, which is read exactly; a scan has to be read with OCR, which can misread characters.
Open it in the converter
Choose the file. If the bank protected it with a password, you are asked for it - the PDF is unlocked in your browser, and the password is not saved anywhere.
Bank Statement to ExcelRead the summary before the rows
Check the transaction count, total debits and credits, and the balance check. When opening balance plus credits minus debits equals the closing balance, the amounts are complete and correct.
Bank Statement to ExcelFix anything marked "Needs review"
Each flagged row says why - a missing date, an unreadable amount, a balance that does not follow. Click the cell, type the value from your statement, and the balance check re-runs straight away.

The Transactions sheet has Date, Description, Debit, Credit and Balance (plus any extra columns your statement has), a Status column, and a filter on the header row. A Summary sheet records the totals and the balance check.

Tips
- Keep money out and money in as separate Debit and Credit columns for analysis; if you need one signed column, add =Credit-Debit in Excel.
- If dates look wrong (the 3rd of April showing as March 4th), use the "switch" link above the table - day-first or month-first is decided once per statement and can be flipped.
- Converting several months? Convert each statement separately, then paste the Transactions sheets one under another - the columns are always in the same order.
- Keep the original PDF. The spreadsheet is a working copy; the bank statement is the record.
Common problems
The balance check fails.
Look at the rows marked "Balance does not follow" - the first one is usually where a transaction was split, merged or misread. Correct it from the statement and the rows after it clear on their own.
No transactions were found.
The converter looks for a table with headings such as Date, Description, Debit, Credit or Balance. A statement laid out as free text, or a scan with no text at all, needs a different route: OCR for the scan, or PDF to Excel for a general table.
Some rows have no date.
Many banks print the date once for several transactions on the same day. Use "Fill missing dates from the row above" - it is only applied when you ask, and each filled row says so.
Frequently asked questions
- Is it safe to convert a bank statement online?
- It depends where the conversion happens. Many online converters upload your file to their servers. Bank Statement to Excel reads the PDF in your own browser, so the statement, its password and your transactions are not sent anywhere.
- Can Excel open a PDF bank statement directly?
- Excel for Microsoft 365 on Windows can import tables from a PDF (Data > Get Data > From File > From PDF), but it treats each page as a separate table, does not join wrapped descriptions and does not check balances. It works for simple, single-page statements.
- Why are amounts in separate Debit and Credit columns?
- Because that is the least ambiguous way to record direction. Statements with one Amount column print money out as negative, in brackets or with DR; the converter reads those markers and puts each amount in the right column.
