How it works
A receipt confirms that payment has been made. It is issued after the money changes hands, which is what separates it from an invoice.
Keep it short: who took the payment, what it was for, how much, and when. The customer name is optional because plenty of receipts are issued to walk-in customers.
The totals follow the same rules as the other documents - lines add to a subtotal, discount comes off, then tax is applied to what remains.
The layout is deliberately narrower and simpler than an invoice so it reads like a receipt, while still printing cleanly on A4 and staying legible as a PDF attachment.
What a payment receipt should show
- Who received the payment, with contact details so the customer can come back with a query.
- What the payment was for, itemised if there was more than one thing.
- The amount paid, with any tax shown separately if you are tax-registered.
- The date the payment was made.
- How it was paid - cash, card, transfer - which matters for reconciliation and expense claims.
- A receipt number, so it can be traced in your own records.
When you need a receipt rather than an invoice
The distinction is about timing. An invoice asks for money; a receipt confirms it arrived.
- A customer paying on the spot needs a receipt, not an invoice.
- A customer who needs to claim the expense back usually needs the receipt as proof of payment.
- A customer who has been invoiced and has now paid may want a receipt as well, to close the loop.
- For a deposit, describe the line as a part payment against the larger job so the receipt makes clear it is not the full amount.

What is the difference between a receipt and an invoice?
An invoice asks for payment and has a due date. A receipt confirms payment has already been made. A customer may need both: the invoice to approve the spend and the receipt as proof it was settled.
Do I need to include the customer's name?
It is optional here, because many receipts are issued to walk-in customers. Include it if the customer needs the receipt for an expense claim or reimbursement.
Do I need to show tax separately?
In many countries a tax-registered business must show the tax amount and its registration number on receipts. Requirements differ, so check your local rules and use the notes field for anything else you must include.
