There is no sign-up, no watermark and no cap on how many invoices you create. Your business details are remembered in your browser so you never retype them, while customer names and amounts are never stored anywhere.

How this tool works

  1. Enter your business details

    Your name, address, email and phone. These are saved in your own browser only, so the next invoice starts with them already filled in.

  2. Add the customer and invoice number

    Fill in who you are billing. A suggested invoice number is pre-filled - replace it with your own sequence if you keep one, since consistent numbering is what makes invoices easy to trace.

  3. Add one line per thing you are charging for

    Each line takes a description, a quantity and a unit price. Add, remove and reorder lines freely; the totals recalculate instantly.

  4. Set discount, tax and payment terms

    Enter a discount percentage and a tax rate with your own label - VAT, GST, sales tax. Use the notes field for bank details and payment terms.

  5. Download the PDF or print it

    Download an A4 PDF ready to email, or print straight from the page. Both come from the same layout.

How it works

Enter your business details, your customer's details and one line per thing you are charging for. The preview on the right updates as you type and is exactly what the PDF will contain.

Each line multiplies quantity by unit price to give a line total. Those add up to the subtotal. Any discount comes off the subtotal, and tax is then applied to the discounted figure - the order most tax systems use.

Pick the currency you invoice in from the list. The symbol is used consistently in the preview and the PDF; amounts are always shown to two decimal places.

The PDF is generated on your device as a proper A4 document with selectable text, so it can be emailed, archived or printed without losing quality. Long invoices paginate automatically, repeating the table header and numbering the pages.

What information an invoice should contain

Requirements differ by country, but almost every jurisdiction expects the same core set of information. The generator has a field for each.

  • Your business details: name, address, email and phone. These are remembered in your browser so you only type them once.
  • The customer's details: name and address at minimum, plus contact details if they are needed for queries.
  • A document number, which should follow a consistent sequence so documents are easy to reference later.
  • Dates - when the document was issued, and any second date the document type requires.
  • One line per item, each with a description, a quantity and a unit price.
  • Optional discount and tax percentages, with your own label for the tax.
  • A notes field for payment terms, bank details, a tax registration number or anything else you need to include.

Getting invoices paid faster

  • State clear payment terms in the notes - "payment due within 14 days" beats leaving it unsaid.
  • Include your bank details or payment link on the invoice itself, so nobody has to ask.
  • Use a consistent, sequential invoice number. It makes chasing and reconciliation far easier for both sides.
  • Describe each line specifically. "Consulting" invites questions; "Site survey, 12 March, 6 hours" does not.
  • Send it to the right person. Invoices sent to a general address sit unread for weeks.
  • Keep a copy. Nothing is stored here, so download the PDF and file it yourself.

Invoice, quotation or receipt?

These three documents look similar and do very different jobs, and using the wrong one causes confusion about whether money is owed.

  • An invoice requests payment for work already delivered, and carries a due date.
  • A quotation offers a price for work not yet done, and usually expires after a stated period.
  • A receipt confirms that payment has already been made.
  • A single job often uses all three in sequence: quote, then invoice, then receipt.

Worked examples

Two lines, 10% discount, 20% tax

10 hours at 50 and a 200 fee gives a 700 subtotal. A 10% discount removes 70, leaving 630. Tax at 20% adds 126, for a total of 756.

No tax registration

Leave the tax rate at 0 and the tax line disappears from the document entirely rather than showing a zero.

Invoice numbering

Sequential numbers such as INV-0001 make invoices easy to reference and are expected by most bookkeeping systems.

A long itemised invoice

Thirty line items paginate across multiple A4 pages, with the table header repeated and "Page 1 of 2" in the footer.

Is this invoice generator free?

Yes - completely free, with no sign-up, no watermark and no limit on the number of invoices you create.

Is my data stored or uploaded?

No. Everything you type stays in your browser and the PDF is produced on your device. Nothing is sent to VSThiran, and nothing is saved once you close the tab.

Is the PDF a screenshot of the page?

No. The PDF is generated as a real document with selectable text and vector lines, laid out for A4. It is not an image of the preview.

Do I need an account?

No. There is no sign-up, no watermark and no limit on how many documents you can create.

How do I create an invoice?

Fill in your business and customer details, add a line for each item with its quantity and price, set any discount or tax, then download the PDF. The whole process takes a couple of minutes.

Can I add my company logo?

Not currently. The invoice uses a clean typographic layout with your business name and details in the header, which is perfectly acceptable for a valid invoice.

Which currencies are supported?

Over thirty, including AED, SAR, INR, USD, EUR, GBP and other widely used currencies. Some symbols cannot be encoded by standard PDF fonts, in which case the three-letter code is used instead and you are told beforehand.

Is this invoice legally compliant in my country?

It produces a clear, standard invoice layout, but legal requirements differ. Many countries require specific details such as a tax registration number, a particular invoice numbering sequence or set wording. Check your local rules and add anything required in the notes field.

Can I edit an invoice after downloading it?

Not the PDF itself. Nothing is saved, so keep the tab open if you might need changes, or re-enter the details. Your own business details are remembered, so only the invoice-specific parts need retyping.
