A Word document, a web page and a text file all render differently depending on the software that opens them: different fonts if one is missing, different page breaks, different spacing. A PDF is built specifically so that does not happen. Every element - text, image, line, page size - has a fixed position, so the document you open looks exactly like the one that was created, on any computer, phone or printer.

That is the entire reason the format exists, and it is why it became the default for anything that needs to look the same for everyone who receives it: contracts, invoices, resumes, forms, scanned documents, reports and anything printed.

Tips

  • A PDF can hold real, selectable text (made from a document) or a picture of text (a scan). They look the same on screen but behave very differently - only the first can be searched, copied or converted with its words intact.
  • File size varies enormously for the same page count. A ten-page text report might be 200 KB; a ten-page scan might be 20 MB. The difference is almost always the images.
  • A PDF is not automatically uneditable - it is just harder to edit than a Word document, because there is no "flow" to insert into. Reordering, marking and signing pages is straightforward; rewriting a sentence in place generally is not.

You can do a lot without rewriting text: reorder, delete or rotate pages, add a watermark, number the pages, sign it and compress it. Changing the actual sentences needs a conversion to Word first.
