Automated document processing usually has three parts: OCR to turn a scan into text, an AI model to pull out the fields you need, and a person to check the ones that matter. Each is priced differently - per page, per token, per hour - which makes the all-in cost hard to see.
This calculator puts them together per page, per document and per month, and optionally compares the result with typing the documents up by hand. For occasional documents, the free OCR tool on this site runs in your browser at no cost.

How it works
Pages per month are documents per day × pages per document × working days, unless you enter an override. With an override, documents per month are derived by dividing it by pages per document, so cost per document stays consistent.
OCR and AI costs are pages per month times their per-page prices. Verification cost is pages × share checked × seconds per page ÷ 3,600 × hourly cost. Storage is a flat monthly amount. The total is the sum; cost per page and per document divide it by the monthly counts.

Working out the AI cost per page
If you use a language model to extract fields, the cost per page is the tokens per page times the price per token. A dense page of text is often in the range of several hundred to a thousand or so tokens of input, plus your instructions, plus the structured output. Multiply the tokens by the price per million and divide by a million.
Models that read page images directly are billed by image size instead - check how your provider counts image tokens. In both cases, measuring a sample of your real documents beats any rule of thumb.

Worked examples
Supplier invoices, 200 a day
200 four-page documents a day over 22 days is 800 pages a day and 17,600 a month. OCR at $0.0015 a page is $26.40, AI extraction at $0.002 a page is $35.20, checking 10% of pages for 30 seconds at $25/hour is $366.67, and storage $5: $433.27 a month, about $0.098 per document and $0.025 per page. Keying in 4,400 documents at 5 minutes each would cost $9,166.67, so automation saves about $8,733 a month.
A known monthly page count
With 10,000 pages a month overridden and 5 pages per document (2,000 documents), OCR at $0.001 and AI at $0.004 a page and no verification or storage, the total is $50 - $0.005 a page and $0.025 a document. Manual entry at 3 minutes and $20/hour would be $2,000, a saving of $1,950.
Frequently asked questions
How much does OCR cost per page?
Cloud OCR services typically charge per 1,000 pages, with different prices for plain text and for richer extraction such as tables and forms, and lower rates at higher volumes. Divide the price per 1,000 by 1,000 to get the per-page figure for this calculator.
Is there a free option?
For occasional documents, yes: the free OCR tool on this site extracts text from images and scanned PDFs in your browser, so nothing is uploaded and there is no per-page cost. For thousands of pages a day an automated pipeline is more practical.
Do I really need people to check the output?
For anything with financial or legal consequences, a check on at least the low-confidence fields is sensible, because OCR and AI extraction both make occasional confident mistakes. The calculator lets you see what different levels of checking cost.
Why use one hourly cost for verification and manual entry?
Because the same kind of staff usually do both. If they differ, run the calculator twice.
What about handwriting and poor scans?
Accuracy drops, so verification takes longer and more pages need checking. Raise the verification figures rather than assuming the same rate as clean printed pages.
